Terms of Service
Please read these terms carefully before using CubixOne.

1. Definitions
- "CubixOne" — the platform, software, and services provided at cubixone.pt and its subdomains.
- "Company" / "We" — CubixOne, the entity that operates the platform.
- "Customer" / "You" — the individual or organization that registers for and uses CubixOne.
- "Tenant" — an isolated workspace created for a Customer, containing one or more Companies.
- "User" — any individual with access to a Tenant, regardless of role.
- "Data" — all information entered, uploaded, or generated by a Customer within their Tenant.
- "Service" — the CubixOne cloud application, APIs, and all related functionality.
2. Acceptance of terms
By creating an account, starting a free trial, or using CubixOne in any way, you agree to be bound by these Terms of Service and our Privacy Policy.
If you are accepting these terms on behalf of a company or organization, you represent that you have the authority to bind that entity.
If you do not agree to these terms, do not use the Service.
3. Account registration
To use CubixOne, you must:
- Be at least 18 years of age
- Provide accurate and complete registration information
- Maintain the security of your account credentials
- Notify us immediately of any unauthorized access
You are responsible for all activity under your account. CubixOne is not liable for losses caused by unauthorized use of your credentials.
One person or entity may not maintain multiple free trial accounts. We reserve the right to close duplicate or fraudulent accounts.
4. Service description
CubixOne is a cloud-based, multi-tenant ERP platform designed for fire protection companies. The Service includes:
- Contact and client management (CRM)
- Installation and equipment tracking
- Inspection scheduling and compliance management
- Proposal, contract, and invoice generation
- Document management and digital signatures
- Reporting, dashboards, and analytics
- Calendar, task management, and team collaboration
Available features depend on the plan you subscribe to. We may add, modify, or remove features at any time with reasonable notice.
5. Plans, pricing and payment
Pricing
CubixOne is priced per company, not per user. Current pricing is available at cubixone.pt/pricing.
Billing cycle
Subscriptions are billed monthly or annually, depending on your chosen plan. Annual plans receive a discount as indicated on the pricing page.
Payment
Payments are processed securely through Stripe. We accept major credit and debit cards. All prices are in EUR and exclude applicable VAT.
Late payment
If payment fails, we will notify you and retry for up to 7 days. If payment is not resolved, your account may be suspended. Data is retained for 30 days after suspension before permanent deletion.
Refunds
Monthly plans: no refunds for partial months. Annual plans: pro-rata refund for unused full months, available within the first 30 days. After 30 days, no refunds are issued.
6. Free trial
- Duration: 7 days from account creation
- No credit card required to start
- Full access to all features during the trial
- Limited to 1 user per trial account
- One trial per person or organization
At the end of the trial, you must subscribe to a paid plan to continue using CubixOne. If you do not subscribe, your account will be suspended and data will be retained for 30 days.
7. Data ownership
You retain full ownership of all Data you enter into CubixOne. We do not claim any intellectual property rights over your Data.
You grant CubixOne a limited license to process, store, and display your Data solely for the purpose of providing the Service.
You may export your Data at any time in standard formats (CSV, JSON, PDF). Upon account termination, you may request a full data export before the 30-day retention period expires.
We may generate anonymized, aggregated statistics from usage patterns. These statistics contain no personally identifiable information and may be used to improve the Service.
8. Acceptable use
You agree not to:
- Use the Service for any unlawful purpose
- Attempt to gain unauthorized access to other Tenants or accounts
- Reverse engineer, decompile, or disassemble the Service
- Use automated tools to scrape, crawl, or overload the Service
- Upload malicious content, viruses, or harmful code
- Share your account credentials with unauthorized parties
- Resell or redistribute the Service without written authorization
- Use the Service to store or process data unrelated to your fire protection business
- Circumvent rate limits, security controls, or access restrictions
Violation of these terms may result in immediate account suspension or termination without refund.
9. Service availability and SLA
We target 99.9% uptime for the Service, measured monthly. This excludes:
- Scheduled maintenance (announced at least 48 hours in advance)
- Force majeure events beyond our reasonable control
- Issues caused by third-party services (Stripe, DNS providers, etc.)
- Issues caused by Customer's own systems or internet connectivity
We perform regular backups. In the event of data loss due to a platform failure, we will restore from the most recent backup at no additional cost.
10. Limitation of liability
To the maximum extent permitted by Portuguese and EU law:
- The Service is provided 'as is' without warranties of any kind, express or implied.
- CubixOne shall not be liable for indirect, incidental, special, or consequential damages.
- Our total liability for any claim shall not exceed the amount you paid us in the 12 months preceding the claim.
- We are not liable for losses caused by your failure to maintain adequate backups of your Data.
Nothing in these terms excludes liability for fraud, gross negligence, or death/personal injury caused by our negligence.
11. Termination
By you
You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of your current billing period. You retain access until that date.
By us
We may suspend or terminate your account if:
- You violate these Terms of Service
- Payment is overdue for more than 14 days
- Your use poses a security risk to other customers
- Required by law or court order
After termination
- Your Data is retained for 30 days after termination
- During this period you may request a full data export
- After 30 days, all Data is permanently and irreversibly deleted
- Billing records are retained for 10 years as required by Portuguese tax law
12. Intellectual property
CubixOne, its logo, design, code, and documentation are the intellectual property of CubixOne and are protected by copyright and trademark laws.
Your subscription grants you a limited, non-exclusive, non-transferable, revocable license to use the Service for the duration of your subscription.
You may not copy, modify, distribute, or create derivative works based on the Service without our written consent.
13. Changes to these terms
We may update these Terms of Service from time to time. When we do:
- We will update the 'Last updated' date at the top
- Material changes will be notified by email at least 30 days in advance
- Continued use after the notice period constitutes acceptance
- If you disagree with the changes, you may cancel before they take effect
14. Governing law and disputes
These terms are governed by the laws of Portugal and applicable European Union regulations.
Any disputes shall be resolved in the courts of Lisbon, Portugal, unless mandatory consumer protection laws in your jurisdiction require otherwise.
For EU consumers: you may also use the European Online Dispute Resolution platform at ec.europa.eu/consumers/odr.
